The Senior Exhibitions & Collections Coordinator provides project support for the exhibitions and collections department. Works directly with the Senior Registrar and Associate Director of Exhibitions and Collections to prepare information for exhibition design and display combining strong graphic design skills with knowledge of physical handing and preparation of objects. This includes managing and production of all exhibition graphic elements, participates in exhibition planning to ensure successful and effective implementation of exhibition installations. Coordinates information such as checklists, case lists, graphic needs such as labels, panels, and titles for the exhibitions.
Please note: Able to occasionally shift hours to work one or two monthly evening or weekend engagement programs.
Manages and produces all exhibition graphics. This includes designing all exhibition didactics (vinyl, wall labels, exhibit checklists, prospectus for exhibit travel, and packets for existing and traveling exhibits, fact sheets for grants, and image reproductions). Manages production timelines internally and with external vendors. Oversees installation of graphics. Communicates creative design solutions through visual guides in SketchUp plans, Adobe Photoshop, and InDesign.
Manages projects for preparation of two-dimensional objects for exhibition display and travel, as well as preparation of these objects for collections storage. Plans, organizes, and oversees the matting, framing, display, and storage components for each project. Creates timelines, orders supplies from vendors, and schedules crew help as needed.
Coordinates exhibition needs and logistics with other venues and internally with Block staff for exhibitions originated by and traveling from the Block Museum, and assists with coordinating exhibition needs for Block hosted exhibitions. This includes the design and production of visuals of the installation, detailed floorplans, design of Filemaker pro layouts for exhibition checklists, sharing final design documents, exhibition layouts, and object lists.
Supports student-curated exhibitions drawn from the collection by making collections accessible for research and study. Coordinates Katz exhibitions with curatorial, faculty, and students.
Enters information into Collections and Exhibitions databases such as final exhibition checklists, images, and object locations. Works with curatorial and registrar on FileMaker Pro database and tracking objects for exhibition.
Handles rights and reproduction requests for the collection and exhibitions in association with the Communications Manager, for promotional and educational use, including printed and digital materials and for use in the galleries during the run of the exhibitions.
Prepares all digital media for installation, and keeps department current on media display technologies. Assists Associate Director of Exhibitions and Collections with maintaining technological components for exhibitions and loans such as DVD players, computers, and projectors.
Schedules professional photography of all exhibitions, and archives images of the exhibition by organizing photography and/or photographing each installation for every exhibition. Schedules all photography of the collection and loans for exhibitions. Organizes and stores photography, connects collections photography to the collections database.
Provides departmental administrative support through the preparation of agendas and taking meeting minutes, as necessary. Assists Associate Director of Exhibitions and Collections and Senior Registrar with travel coordination for the department, and couriers for traveling exhibitions, as well as service payments and invoice processing.
Provides leadership and teaches art handling and preparation skills to print study work-students. May help oversee a team of professional preparators and coordinates with outside vendors for graphic production during exhibition turnarounds.
Other tasks or duties as assigned
BFA/BA/BS in Studio Art, Art Historyistory, Museum Studies, or Arts Administration, or equivalent work experience.
Strong proficiency in the following programs InDesign, Adobe Photoshop, SketchUp, FileMaker Pro.
